Induction & Probation

Overview

Induction and Probation is a critical Human Resource Management module, managing the initial stages of an employee's journey. It covers structured processes for welcoming and educating new hires through induction programs, and systematically evaluates their performance during a probationary period. This module ensures smooth integration, alignment with company goals, and establishes performance standards for successful long-term employment.

  1. Induction Program Management: This feature involves Employee Induction records, detailing the induction's unique code, description, and date. These records link to Induction Templates, which automatically populate relevant Modules and Topics. Users also assign an inductor (an employee who conducts the session) and a venue, selecting from available active options.
  2. Module & Topic Configuration: Module Maintenance defines various training modules (e.g., "Performance," "Health and Safety") and associates them with specific Topics. Separately, Topic Maintenance is used to detail individual subjects. Both functionalities utilise unique alphanumeric codes, descriptions, and notes. Records can be voided to deactivate them, removing them from active lists, with the ability to reactivate them when required.
  3. Induction Templates: These serve as blueprints for induction programs, outlining the required modules and topics to ensure consistency and streamline setup for different staff types. Templates support the addition of notes, can be voided or reactivated, and are searchable by code or description. They are designed to load only active components.
  4. Probation Management: This essential feature tracks an employee's trial period. Employee Probation records are created to log the start and end dates of the probation, with the duration automatically calculated in days. The system also allows for maintaining the probation status and recording any relevant notes.
  5. General Record Features: Across all Induction and Probation forms, records can be created, edited, and saved. The voiding function effectively deactivates a record, preventing it from appearing in active lookups, but it can be reactivated if needed. The system also supports adding comprehensive notes and relevant attachments to individual records.
  6. Reporting: The module provides several key reports for comprehensive oversight and analysis. These include the "Employee Induction Report," the "Employee Induction Topic Report," and the "Employee Probation" report. These reports incorporate various filters such as company, employee, status, territory, branch, and cost centre to facilitate detailed insights.
